Terms and conditions
All tours are booked with The Norway Way. By booking a trip with us you are deemed to have agreed to these Booking Conditions (which constitutes the entire agreement between you and us) and your booking will be accepted by us on this basis. The services to be provided are those referred to in your booking confirmation invoice.
Dates, itineraries and prices listed on website are valid from 01 January 2016 to 31 December 2016. Dates, itineraries and prices are subject to change beyond 31 December 2016.
In order for your booking to be confirmed, you are required to pay a deposit of 4000 NOK (~450 USD.) If we accept your booking we will issue a confirmation invoice. A contract will exist between us from the date we issue the confirmation invoice or if you book within 21 days of departure the contract will exist when we accept your deposit. Please refer to your booking confirmation invoice for details regarding final payments. Payment of the balance of the trip price is due 45 days before the departure date. If you should book within 45 days of the trip, the full amount is due at the time of booking.
If you would like to transfer to another trip date or cancel your reservation, we ask that your request be issued to us in writing.
More than 45 days before your trip, your deposit and/or full payment is 100% refundable. Within 45 days of your trip, your deposit is non-refundable in its entirety. 44-22 days before your trip, your payment (less deposit paid) is refundable. 21-0 days before your trip, your full payment is non-refundable. We reserve the right to cancel a trip at any time up to 21 days before departure. Please note that since we are a small company, there is a minimum number of participants required to operate our trips. If the number of minimum participants is not met, we will be forced to cancel. If this should occur, you will be refunded or offered to reschedule for another trip date. We may also cancel a trip at any time prior to departure if, due to terrorism, natural disasters, political instability or other external events, it is not viable for us to operate the planned itinerary. If we cancel your trip, you can transfer amounts paid to an alternate departure date or alternatively receive a full refund. In circumstances where the cancellation is due to external events outside our reasonable control, refunds will be less any unrecoverable costs. We are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, travel insurance excess or non-refundable flights.
In order for us to confirm your travel arrangements you must provide all requested details with the balance of the trip price. Necessary details may include full name as per passport, date of birth, nationality, passport number, passport issue and expiry date and any pre-existing medical conditions you have which may affect your ability to complete your travel arrangements. We also ask that you inform us about any dietary restrictions at least 21 days prior to departure, so that we may accommodate you to the best of our ability.
The price of your trip includes:
all accommodations during the trip, as listed on the website; all meals listed on the website, cycling guide services, as listed on the website; the use of a support vehicle during the rides; assistance with bike during the trip; all ferry transport during the rides
The price of your trip does not include:
airfare; travel insurance; visa/passport fees; equipment and equipment rentals; other personal items; meals not mentioned in inclusions; cost of upgrade to single-occupancy accommodations; airport transfers, taxes and excess baggage charges
We strongly recommend that you purchase travel and cancellation insurance. The terms can vary with different insurance companies; check the specific terms with your insurance company.
You must carry a valid passport and have obtained all of the appropriate visas, permits and certificates for the countries in which you will visit during your trip. Your passport must be valid for 6 months beyond the duration of the trip. It is your responsibility to ensure that you are in possession of the correct visas, permits and certificates for your trip. We are not responsible if you are refused entry to a country because you lack the correct passport, visa or other travel documentation.
You acknowledge and agree that participation in activities, such as adventure travel, involves inherent risks and dangers of accidents, personal and bodily injury (including death) and property loss or damage. You agree that you have considered the nature and extent of the risks involved and voluntarily choose to assume all such risks, both known and unknown, even those risks that result from the negligence of others and assume full responsibility for your participation in such activities.
Optional activities not included in the trip price do not form part of the trip or this contract. You accept that any assistance given by your group leader or local representative in arranging optional activities does not render us liable for them in any way. The contract for the provision of that activity will be between you and activity provider.
We are not liable for our third party suppliers. Although we take all reasonable care in selecting third party suppliers, we are not liable and will not assume responsibility for any third party acts and/or omissions.
Our tours are run by a cycling guide(s). The decision of the guide is final on all matters likely to affect the safety or well-being of any person participating in the trip. If you fail to comply with a decision made by a guide, or interfere with the well-being or mobility of the group, the guide may direct you to leave the trip immediately, with no right of refund. We may also elect not to carry you on any future trips booked. You must at all times comply with the laws, customs, foreign exchange and drug regulations of all countries visited, and you also agree to travel in accordance with our responsible travel guidelines.
You agree to indemnify, defend and hold harmless The Norway Way, its affiliates, officers, directors, employees, agents, services providers and licensors from and against all losses, liabilities, costs (including without limitation attorneys’ fees and costs on appeal or at trial), damages, judgments, claims, of every kind and nature, to the fullest extent permitted by law, arising from or relating in any way to (i) your use of the Site, (ii) the products and services purchased through the Site, (iii) any liabilities, claims, damages and injuries arising from or related to any act or omission of a Service Provider or another third party, (iv) your conduct in connection with the Site, or (v) your violation of these Experiences Terms, the Terms of Service, any law or the rights of any third party.
If you have a complaint about your trip please inform your guide at the time in order that they can attempt to rectify the matter. If satisfaction is not reached through these means then any further complaint should be put in writing to us within 30 days of the end of the tour.
You consent to us using images of you taken during the trip for advertising and promotional purposes in any medium we choose. You grant us a perpetual, royalty-free, worldwide, irrevocable license to use such images for publicity and promotional purposes.
